You have to be authorized to sign in a company if you want to put a physical signature. But what about digital signatures?
Analogous to a traditional signature, digital signatures can be used in a company by anyone within the scope of their assigned activity.
In particular, when signing electronically created invoices, we recommend assigning those persons who actually carry out and monitor the issuing process of the invoices as signers.
With the advanced signature, it is required that the person performing the signature keeps their signature key under control. This is usually done with a signing password that should not be passed on.
Even if the accounting is automated, it may be necessary to repeat or restart the issuing process in the event of a disruption. It will usually be necessary to re-enter the signing password. Members of the management or authorized signatories are not always available and the accounting would then be interrupted. In this sense, it is more economical to assign the signing to system administrators or executives of the IT department.
